When you need any sort of document to be reformatted and/or typed, you have your work cut out for you. Even if it is an important document, you may simply not have the time to sit down and do everything that is necessary for the typing process. Cylex: What is a brief history of your business and behind its name?

Albright Administration: Albright Administration was founded in 1991 by Anne Albright to provide remote office administration and business support services to businesses and individuals.  Throughout the early nineties, we provided full-service sales and marketing support, including inventory management and warehousing, inquiry and order processing, fulfillment, telemarketing, data entry, and transcription.  In the late nineties, the business evolved with technology, the internet, and changing client needs to where it is today - typing, and transcription and virtual administrative support and office assistance.  

The business name, Albright Administration, is a combination of my last name and office administration.  Another reason for the name is, as pointed out by the client who suggested I start the business, a business name starting with "Al" would be near the top of the telephone listings (we had Yellow Pages back then!). 

Cylex: Are your typing services rates affordable?

Albright Administration: Yes, Albright Administration's typing services rates are competitive and affordable.  We charge per typed page or per typed word, and offer student, non-profit, volume, and prepayment discounts.  Our transcription rates are per recorded minute. 

Cylex: How long does it take to transcribe a recording?

Albright Administration: The industry standard for transcription is 3.5-5:1 for high-quality, clear audio, one or two speakers.  That means it takes three and a half to five hours to transcribe a one-hour high-quality audio or video recording.  Factors that can increase transcription time are background noise, poor quality audio, low volume, cross-talk, the number of speakers, how fast speakers talk (speed talkers), soft-spoken participants, and heavy accents.  Also adding to transcription time is the amount of research required and transcription style (strict verbatim versus clean or edited verbatim).  For instance, an excellent quality recording of an interview with two speakers, speaking clearly, and at a normal pace can take three to four hours to transcribe.  On the other hand, a focus group with eight participants, some with accents, others soft-spoken, background noise (an air conditioner, fan, traffic, etc.), and cross-talk discussing technical subject matter can take 10 hours to transcribe.

Cylex: What happens if you cannot hear certain words in a transcription? Has that happened?

Albright Administration: When we can't hear certain words spoken while transcribing, we rewind several times to try to understand what was said.  Any words and phrases that are not cleared up during the transcription are given additional attention while proofreading the transcript along with the audio.  We do not transcribe what we think is said, so, unintelligible words occasionally remain in a transcript, even with a good-quality recording.  People sometimes mumble or look away from the microphone while speaking and their words become inaudible or unintelligible.  At Albright Administration, unintelligible or inaudible words are marked <unintelligible> or <inaudible> and the timestamp is included for each instance.  

Cylex: How long do you keep files on your computer after you finished the job? ( in case a client might lose the work)

Albright Administration: We have had requests for a copy of a transcript two years after delivery.  It is rare, but it does happen.  But, unless otherwise requested by the client, all files, recordings, transcripts, or other client documents and files are kept on file for 30 days after completion.  Clients can request their files be archived up to three years.  Our archives are encrypted and password protected, and there is no extra charge for archiving.  Clients can also request their files be deleted immediately upon delivery.  Albright Administration permanently deletes digital files with a digital shredder; hard copies are micro-shredded in-house.

Cylex: What are your reason to choose to work in this field?

Albright Administration: Before starting my business, I worked full-time in administrative assistance and office management, so I have been in this area my entire career.  I also worked a couple of years as a temp and loved the variety and challenge of the temporary positions - being able to work with different businesses and doing different types of work.  The business started out of necessity.  I was laid-off in the late eighties and started freelancing when I was still unable to full-time employment after my unemployment ran out.  At that time, we had six months' unemployment benefits and were in a recession.  One of my clients suggested I start my own business, and after some consideration, I saw the opportunity to fit an office administration and business support services business into the space between permanent employees and temporary workers.  


There are also various transcription styles.  Since there are different rates and turnaround times vary depending on the style, here is a summary of each style:

1.  Verbatim Transcription:  a word-for-word account where everything recorded is transcribed in full (um, uh, like, false starts, speech patterns, etc.).  Grammar, slang, and speech patterns are not corrected.

2.  Clean Verbatim: all relevant speech is transcribed verbatim while omitting false starts, filler words (um, uh, like, etc.), and unrelated conversation.  Grammar and slang are not corrected.

3.  Edited Verbatim:  a lightly edited transcript that omits false starts, filler words, speech patterns, and unrelated conversation.  Grammar and slang are corrected.  Edited verbatim is our default transcription style.
